ChatGPT Prompts for Business That Do Real Work (2026)
Editorial note: this was originally published in march of 2025

These prompts are for business owners, founders, freelancers, and operators who want AI to do real work, drafting strategy documents, writing client communications, analysing decisions, and cutting through day-to-day friction. They work in ChatGPT, Claude, Gemini, and Copilot without modification.
Each prompt uses role-play framing (e.g. "Act as a fractional CFO") and [placeholder] brackets so you can drop in your business context before running it. Copy the prompt, fill the brackets, and get output that's specific to your situation rather than generic advice dressed up as personalised help.

I'm considering starting a business in [industry or niche] targeting [customer type] with a product or service that [brief description]. My business is [business name] and we are currently facing [describe the main operational challenge — e.g. inconsistent delivery times, onboarding bottlenecks, team communication issues]. Marketing & Messaging
Define Your Ideal Customer Profile
Act as a customer research specialist. My business sells [product or service] and I believe my best customers are [describe who you currently think they are]. Based on that description, write a detailed ideal customer profile covering: demographics, professional situation, the specific problem they're trying to solve, what they've already tried, what would make them choose us over doing nothing, and the language they'd use to describe their problem. Flag any assumptions I should validate.
Write a Homepage Value Proposition
Act as a conversion copywriter. My business is [business name] and we help [target customer] achieve [specific outcome] through [product or service]. Aim for under 250 words in the body.
Sales & Client Communication
Write a Cold Outreach Email
Act as a B2B sales writer. I need a cold outreach email to send to [job title] at [type of company]. My business offers [product or service] and the specific problem we solve for this audience is [problem description]. Write an email under 150 words. Open with a specific observation about their situation rather than a compliment. Include one concrete result a similar client achieved. End with a low-friction call to action. Do not use "I hope this email finds you well" or similar openers.
Respond to a Difficult Client Email
Act as a client relationship manager with experience handling complaints professionally. Here is an email I received from a client: [paste client email]. The background context is: [explain what happened and any relevant history]. Write a response that acknowledges their concern directly without being defensive, explains what happened in one sentence if relevant, states what we will do to resolve it, and ends with a clear next step. Keep the tone calm and professional, not overly apologetic.

Do not pad it with generic statements about our passion or commitment.

Write a discovery call script I can follow for a 30-minute call with a new prospect. Add brief notes on what to listen for in each answer.
Write a Price Increase Email
Act as a business communication specialist. I need to notify my existing clients that my prices are increasing from [current price] to [new price] effective [date]. The reason for the increase is [brief honest reason — e.g. rising costs, expanded service scope, market rate alignment]. Write an email that announces this clearly, frames the value they'll continue to receive, and gives them enough notice to make a decision. Do not over-apologise or bury the announcement.
Write a Partnership Outreach Email
Act as a business development strategist. I want to approach [type of business or specific company] about a partnership with [my business name]. What I can offer them is [specific value — e.g. access to our audience, a revenue share, co-branded content]. What I want from them is [specific ask — e.g. distribution, a referral arrangement, joint webinar]. Write a partnership outreach email under 175 words. Lead with what's in it for them, be specific about what the partnership would look like, and end with a concrete next step.
Finance & Operations
Analyse a Business Financial Decision
Act as a fractional CFO advising a small business owner. I am deciding whether to [describe the decision — e.g. hire a full-time employee vs. use contractors, invest in new equipment, move to a larger office]. My current monthly revenue is approximately [revenue], my fixed costs are [fixed costs], and my available cash reserve is [reserve]. Walk me through the financial implications of each option, identify the break-even point where relevant, and flag the top two financial risks I should plan for.
Build a Cash Flow Forecast Framework
Act as a small business accountant. My business generates revenue through [revenue model — e.g. monthly retainers, project fees, product sales] and my average monthly revenue is [amount]. My main expense categories are [list 4-6 categories]. Create a 6-month cash flow forecast template in table format, with columns for each month and rows for each income and expense category, plus a net cash position row. Then explain the three inputs I should update weekly to keep it accurate.
Write a Standard Operating Procedure
Act as a business operations specialist. I need to document the process for [specific business task — e.g. onboarding a new client, processing a refund, publishing a blog post]. The people who will follow this procedure are [role description] and they have [level of experience] with this task. Write a step-by-step SOP with a purpose statement, list of tools or materials needed, numbered steps with enough detail that someone new could follow them, and a checklist at the end. Flag any steps where mistakes commonly happen.
Draft a Vendor Negotiation Script
Act as a procurement advisor. I need to negotiate better terms with my supplier [supplier type] for [product or service they provide]. I currently pay [current price or terms] and my goal is [target price, payment terms, or contract length]. Write a negotiation script I can use in a call or meeting. Include an opening that frames this as a long-term partnership conversation, three specific asks with brief rationale for each, and two fallback positions if they push back on my primary ask.
Summarise a Long Document for Decisions
Act as a senior business analyst. I'm going to paste a document below and I need you to extract what matters for a business decision. After I paste it, give me: a three-sentence summary of the document's main purpose, a bullet list of the five most important facts or data points, any risks or concerns mentioned, and a recommended next action based on the content. Here is the document: [paste document].
Hiring & Team Management
Write a Job Description
Act as an HR consultant for a small business. I'm hiring a [job title] for my [type of business]. This person will be responsible for [list 4-5 main responsibilities]. The role is [full-time / part-time / contract] and pays [salary range or rate]. Write a job description that covers the role summary, responsibilities, required skills, nice-to-have skills, and what the person can expect from working with us. Make it specific enough that unsuitable candidates self-select out.
Prepare a Performance Review
Act as a people manager experienced in giving constructive performance feedback. I need to prepare a written review for a team member in the role of [job title]. Their strengths are [list 2-3 genuine strengths with examples]. The areas where they need to improve are [list 1-2 specific issues]. Write a balanced performance review that leads with what they're doing well, addresses the improvement areas directly with specific examples rather than vague feedback, and sets two clear, measurable goals for the next review period.
Create an Employee Onboarding Checklist
Act as an HR operations specialist. I'm onboarding a new [job title] to my [type of business]. They will be responsible for [main job functions]. Create a structured onboarding checklist covering their first day, first week, and first 30 days. Include tasks for both the new hire and the manager, specify any tools or accounts they need access to [list your main tools], and include at least two touchpoints in the first month where the manager checks in on how things are going.
Customer Experience
Generate Customer Survey Questions
Act as a customer experience researcher. I want to survey my customers to understand how satisfied they are with [product or service] and where we could improve. My customers are [customer description] and they typically interact with us through [channel — e.g. a web app, in-person, support tickets]. Write 10 survey questions that cover overall satisfaction, specific experience touchpoints, likelihood to recommend, and the most common friction points. Mix question formats: two or three rating scales, four or five multiple choice, and two open-ended. Avoid leading questions.
Write a Customer Win-Back Email
Act as a retention marketing specialist. I need to re-engage customers who purchased from [business name] but haven't bought again in [time period]. My product or service is [description] and the most common reasons customers lapse are [list 2-3 known reasons]. Write a win-back email that acknowledges the gap without being dramatic, highlights one genuine improvement or new feature since they last purchased, and makes a specific offer to bring them back. Keep it under 200 words and avoid sounding desperate.
Handle a Negative Online Review
Act as a brand reputation manager. A customer left the following review on [platform — e.g. Google, Trustpilot, Yelp]: [paste the review]. The situation from our side is: [brief factual explanation of what happened]. Write a public response that acknowledges their experience without admitting fault for things that weren't our error, offers a specific resolution, and invites them to contact us directly. Keep it under 100 words and ensure it reads as genuine rather than templated.
how to use these prompts
- Fill every bracket before you hit send. A prompt with [your industry] left blank produces generic output. The more context you give, company size, revenue stage, customer type, the more specific and usable the response.
- Role-play framing changes the output quality. "Act as an experienced operations manager" tells the model what expertise to draw on and what assumptions to make. Drop the framing and you get a generalist answer; keep it and you get a specialist one.
- Treat the first response as a draft, not a deliverable. Follow up with "make the tone more direct", "cut this to 150 words", or "give me three alternative versions". Iteration is where the real value accumulates.
- Match the model to the task. Claude handles long documents and nuanced writing particularly well. Gemini has live web access in some plans, useful for market research. ChatGPT's GPT-4o is strong for structured outputs like tables and frameworks. Copilot works inside Microsoft 365 and can reference your actual business files.
- Chain prompts for complex work. Run a market research prompt first, paste the output into a positioning prompt, then feed that into a messaging prompt. Each prompt builds on real output rather than starting cold.
